Invoice requirements
Make an invoice for free: what has to be on it?
Making an invoice that holds up: without these details your client cannot deduct the VAT. This form asks for all of them.
01
Invoice number and date
A unique number that follows on from your last invoice, and the date you issue it.
02
Your details
Your company name and address, your VAT ID and your Chamber of Commerce number.
03
Your client’s details
Name and address. For a business client in another EU country, their VAT ID as well.
04
What you deliver
A description, the quantity and the delivery date if it differs from the invoice date.
05
Amounts and VAT
The amount excluding VAT, the VAT rate and the VAT amount, per rate.
06
Reverse-charged or exempt
If your client accounts for the VAT, the invoice says "VAT reverse charged" and shows their VAT ID. If you use the KOR, you name the scheme. The form sets up both for you.
Frequently asked questions about invoicing
Is this invoice valid for the Dutch tax authority?
Yes, if you fill in every field. The form asks for exactly the details the Dutch Tax Administration requires on an invoice.
Do I have to charge VAT?
Usually, yes. If you use the small business scheme (KOR), you charge no VAT and name the scheme on the invoice. If your client accounts for the VAT, for example a business in another EU country, you put "VAT reverse charged" and their VAT ID on the invoice. You choose either in the Invoice details step.
How do I number my invoices?
Every invoice number has to be unique and follow on from the previous one. Many business owners start again each year, such as 2026-001, 2026-002.
How many days does my client have to pay?
If you agree nothing, the payment term is 30 days. You can agree a different term and put it on the invoice as the due date.
How long do I have to keep invoices?
Seven years. That applies to the invoices you send and the ones you receive.
Can I send invoices from GoDutch too?
Yes. In GoDutch you make an invoice in your own branding, and your client gets a payment page with your IBAN and the reference already filled in. So you see straight away who has paid.
What is the difference between an invoice and a quote?
A quote is your offer up front, with price and terms. You send an invoice after delivery or at agreed moments to get paid. If you make a quote first, you fix the price and terms up front.
Do I need a KvK number on my invoice?
Yes, the KvK number is part of your company details on the invoice.
